1. Is it possible to install AceProject locally, on our corporate intranet?

Yes. You can purchase the Source Code package for the number of users you need. The Source Code, your free account's database and the installation procedure are sent to you by email, as soon as your payment is received. Email and phone support are available if you need help during the installation.


2. How can a user have access/be assigned to more than one project? 

A user may be assigned to several projects. The assignment is done from each project. Only Administrators and Project Managers can assign users to a project. Here is the procedure to follow to assign users to a project: 

  1. Click on the "Administration" tab, then on "All Projects" on the left panel. 

  2. Click on a project's number to edit its parameters. 

  3. In the "Edit Project Information" page, click the "Assigned Users" tab and click on the "Assign a New User" link. 

  4. You will be able to choose from the list of all users that have access to AceProject.


3. I would like to assign a task to another user, but only my name comes up in the assign list.

In order to be able to assign a task to a user, the user must be assigned to the project. The user must be a part of the project in order to have access to it or to be assigned to tasks. Here is the procedure to follow to assign users to a project: 

  1. Click on the "Administration" tab, then on "All Projects" on the left panel. 

  2. Click on a project's number to edit its parameters. 

  3. In the "Edit Project Information" page, click the "Assigned Users" tab and click on the "Assign a New User" link. 

  4. You will be able to choose from the list of all users that have access to AceProject.


4. Is there any possibility to allow file attachments for a particular task? Most of my tasks have documents that need to be consulted before completion (ie. word docs, pagemaker files, jpgs, gifs, etc.) 

Yes. AceProject allows you to attach files such as screenshots, images and text documents to tasks. The attached files provide users a better description of the specific task. Here's the procedure to attach a file to a task:

  1. Open a task.

  2. Click on the "File Attachment" Tab. Click the "Browse..." button to reach the file. You can also include a comment and a version number with the file.

  3. Click on "Upload File and Save" to send it to AceProject server.


5. Seeing that we have already entered data on your system, if we decide to purchase the Source Code package and install it on our own server, will we be able to recover the information we have entered in our free account or will we have to re-enter it on our system? 

If you purchase the Source Code package, you will not have to re-enter your data. Your package will be delivered with the .asp pages, along with your database (containing your data) and the installation procedure. Click here to purchase the Source Code.


6. What is the reviewer field, on the task level,  and what is it for? 

Normally, when a task is created, it is assigned to one or multiple user(s) to execute it. Once the user(s) has finished the task, someone else (reviewer) can be asked to review/verify the work done to make sure it has been done correctly. 
 


7. I assigned a task to myself and I did not get an email notification. Why? 

AceProject recognizes who assigns the task and therefore, does not send email notification when a user assigns a task to him/herself. You must assign a task to someone else for AceProject to send an email notification. You can read this page for more information about email notifications.


8. I don't understand the difference between your packages. Which one do I need to put a copy on my server?

In order to install AceProject on your Intranet, you must purchase the Source Code package and choose the database type, either Access 2000 or SQL Server 2000 database. Click here to know more about the Source Code pricing.
 


9. We are interested in using your product, on a in-house basis, for unlimited projects, users and tasks. How is the pricing determined?

When you buy AceProject's source code (with an Access or SQL Server database), there is no limit with the number of tasks, time sheets, file attachments and projects. However, the license is based on the total number of users that will have access to the system. Click here for more information about the Source Code pricing.


10. Where is your site hosted? Do you offer a high-performance bandwidth ?

We use a web hosting service located at http://www.maximumasp.com. AceProject is hosted on a dedicated server and runs on Windows Server 2003 technology with the following hardware: 4 Gigs in memory, a SCSI drive, dual processors 2.4Ghz, behind a strong firewall machine and antivirus program. MaximumASP utilizes a scalable, redundant "bandwidth-on-demand" solution. Depending on network traffic and nationwide bottleneck status, our web server traffic is routed down multiple OC-3 Internet connections to national Internet backbones AT&T and Qwest. Our local connectivity is through BellSouth, KDL and Adelphia via high-speed SONET OC-48 connections.
 


11. Can paying AceProject customers may receive ads, or are ads only sent to users with free accounts? 

There is no advertisement on our website, no matter which package you use.
 


12. Do you offer any uptime guarantee with AceProject? Can you reassure us?

The Internet isn't perfect! Sometimes, even Microsoft Hotmail is down!  We do not offer 100% guarantee for service availability, but a minimum of 99% uptime. For 100% uptime, we suggest you to purchase the Source Code and install the product on your Intranet. Click here to know more on the Source Code package.


13. We do not find the possibility to give each user different access rights like managing the project, adding a task, changing a task or deleting a task.

Access rights are given to users when you assign them to projects. Only Administrators and Project Managers are allowed to modify project parameters and access rights. There are four types of access rights to a project: project manager, time approval, edit task level, and open project. Click here for more information about these access rights.


14. Can I import data from MS Project?

No, you cannot import a MS Project file to AceProject directly. However, data importation is possible with our CSV import module. Here are the steps you must follow to import data from MS Project:

  1. Export your data from MS Project in CSV format.

  2. Modify the CSV file to adapt it to the AceProject format (fields, column names, etc.)

  3. Import your data with AceProject's import module. To get more information about data importation, click here.


15. Can I create sub-tasks?

We don't support the notion of sub-tasks. However, there are many ways to simulate it. For example:

  • You can use decimal task numbers to group your tasks (ex: 1.1, 1.2, 1.3)

  • You can use the task group and type fields to classify your tasks by categories.

  • You could set your major tasks as projects, and your sub-tasks as tasks.


16. Does AceProject offer a task dependencies feature?

Yes. AceProject has a task dependencies system. For the moment, we only support the "Finish-To-Start" type. This means that a task can only start when its predecessor is completed. Moreover, you can set lag time with the dependency in order to respect constraints.


17. Do you support versioning for project documents and file attachments? Can a document be protected against deletion and modification by another user?

Yes. It is possible to give a version number to a document. You can attach many versions of the same document.

You can lock a document when you attach it. The other assigned users to this project will be able to view the document, but will not be able to overwrite the original version. However, they can modify the document and save it with the same name, but they have to specify a different version number.


18. Do you offer a task calendar?

Yes. We offer a calendar with two different views: weekly and monthly. The calendar displays the tasks' start and end dates for a specific week/month. You can access tasks directly, from the calendar, by clicking their summary.


19. Do you offer various types of Gantt Charts?

Yes. We offer Gantt charts for your tasks and projects, with weekly and monthly views. On these charts, you can view the progress of your tasks and projects, in a time frame, in accordance with many criteria.


20.  What kind of support you offer?

21.  How does the AceProject timesheet system works?

22.  Can users choose the language they want to work with, or do all users need to use the account's default language?

Each user can choose which language he/she wants to work with, no matter what is the account's default language. You can switch from English to French at anytime, by clicking the link on top right of the window. A user can also select his/her default language in his/her preferences.


23.  Is it possible to use AceProject as an appointment planner, and to convene the concerned users?

AceProject does not offer any appointment management feature. However, you could, for instance, create an appointment with a task, enter a start date and assign this task to the convened users. An email notification would be sent to all convened users.


24.  It is possible to use AceProject for bug tracking?

It is possible to create a task that represents a bug. You need to understand that AceProject does not offer the harshness of a bug tracking software and therefore, cannot offer the full performance of this type of software. However, it is possible for a task to go through many statuses; from the moment when the problem is detected until complete solving. Many assigned users and reviewers can be a part of the problem solving. Therefore, AceProject offers a serious alternative for bug tracking.


25. Is it possible to use AceProject for Customer Relationship Management (CRM)?

Yes. A CRM software is mainly used to manage miscellaneous problems encountered by our customers. These problems are often submitted as tickets. It is possible to create a ticket for every problem submitted, which can be created as a task. This task can then be assigned to a user who will take the problem in charge.


26. Can you integrate AceProject with other software like Outlook, accounting or payroll tools?

We do not offer this option. However, if you purchase the Source Code, you will be able to create a gateway between AceProject and the other software. You can also export your projects, tasks, users and timesheets in Excel or in CSV format.


27. We have been using the Hosted Advanced package for a few months and we would like to upgrade to the Hosted Gold package. Is it possible and if so, how does it work?

There is no problem to change your package. We migrate your data into the higher version. Migration fees might be charged if the requested version uses a different database type: Ex: Hosted Gold (SQL Server) into Hosted Pro (Access 2000) and vice versa.

30. I would like to read the license agreement for the Source Code. Where can I find it?

31. I noticed that all rates are in US dollars (USD$). Do you have representatives or resellers outside of Canada?

In fact, all our rates are in USD$. We have no representative or reseller outside of Canada. You can contact us by email, phone or live chat. Click here for our contact information.


32. Must we sign a long term contract when we subscribe to a hosted package? Is there a setup fee?

No. The is no setup fee, no matter which package you choose. You will be billed on the same day, every month, automatically. If someday you wish to terminate your monthly subscription, you must email a notice to us before the billing date, and we will simply cancel the subscription. You can get additional rebates if you choose to subscribe for a year. There is no refund allowed after 15 days for the yearly subscription. We can send you your database at the same time, if you wish.


33. We already use AceProject. We would like to manage sick time, vacation and time off. Is this possible?

Yes. First, you must create your time types (ex. regular, sick time, vacation, overtime, time off, etc.). When time is entered, you can choose a particular time type. Thus, you will be able to generate time reports and filter your time to show a particular type only.


34. Some of our users work remotely. Can AceProject act like a collaborative tool?

Absolutely. AceProject is an online collaborative tool for project management. AceProject can be accessed from anywhere around the world, through a web browser and an Internet connection, because it is a 100% Web application. AceProject offers many features such as email notifications, a discussion forum for each project, document management (with version management and locking), timesheets, Gantt charts, user workload reports and more.


35. We have users from different countries. Does AceProject consider time zones?

Yes. Each user can choose his/her time zone in his/her preferences. Thus, the user's parameters, for date and time formats, will be set in accordance with his/her time zone. This does not affect the company's account settings.


36. Is it possible to modify a few aspects of AceProject, in order to adapt it to our company's needs?

Yes. We can modify your AceProject account with our custom work service. You can submit your ideas and your needs to us, and we will send you a quote with a deadline to fulfill your request. Therefore, you are aware of pricing before development get started. Customization can be made with Hosted Pro and Hosted Gold packages only. If you purchase the Source Code (installed on your intranet), we can customize the product for you, or if your prefer, you can make it by yourself, in accordance with your needs. Obviously, you must respect the license agreement.


37. Our company does not use a credit card for online payments. Is there any other way to purchase AceProject?

Absolutely. You can proceed by bank wire transfer or by check. In both cases, we need to send you an electronic bill, which will include our mailing address and our banking information as well, if necessary. Your request will be processed within 24 hours after reception of your payment.


38. Do you offer a data exportation feature?

Yes. Users, projects, tasks and timesheets can be exported in two formats: Microsoft Excel and CSV. Thus, you will be able to import this data in other applications afterwards.


39. Can project costs be managed and are there any cost overrun indicators?

AceProject does not manage project costs. It manages estimated and actual hours per project and per task. Timesheets allow to dispatch actual hours per tasks and per projects. This data is exportable in Microsoft Excel format or in CSV format, for administrative use.


40. Can I grant my external resources (subcontractors, clients) a limited access to my projects?

Yes. Particular access rights granting is done when you assign these external resources to your projects. For example, you can give them a read-only access. This way, your external resources can access your projects, but cannot change their content.


41. If we are interested in a Hosted package, can we access our database remotely to query and recover data, in order to import this data with one of our applications (ex. payroll tool)?

The Hosted Gold package alone allows a remote access to your database. You will be able to query your database, as if it was installed on your own servers. For security reasons, and to avoid corruption of your database, certain access rights have been disabled (deletion, modifications and insertion). The Hosted Gold package also provides you an FTP access. This allows you to copy your database and your documents on our servers, if you need to.


42. Does your software work on a network?

AceProject is a web-based application essentially. If it is installed on a corporate intranet, all network users will be able to access it via their web browser, locally or from an extranet. However, AceProject is not a client/server application.


43. How can we get updates and how much do they cost?

Updates are free of charge, and are made automatically for all hosted versions. However, if you use the Hosted Pro or Hosted Gold packages, and custom work has been made, an integration fee will be charged to re-integrate your modifications into the new version. 44. How can I see which users are available during a certain period of time, in order to be able to assign the good persons to tasks?

The "User Workload Report" allows you to see the amount of work hours of each user. This report can display up to 8 work weeks. This report is available under the "Administration" tab, and on "User Workload".


45. Is it possible to generate project and task numbers automatically?

Task numbers are generated automatically. In the project information, you can enter a "Next Task Number" value, which will be displayed automatically when the next task for this project is created. This number will be incremented automatically every time a new task is created.

However, project numbers cannot be generated automatically because they can contain letters. Every time you create a project, you must enter its number manually. It can contain letters or numbers.


46. When I attach files to a project, are they uploaded on your server or are they saved on my computer?

When you attach a file to a project or a task, it is automatically uploaded into your online account.


47. My email notifications are not working. What should I check?

If you cannot have email notifications working properly, read this.


48. Can we set reminders for users, in order to notify them when a task is soon due or overdue?

Yes. Administrators can set reminders for all assigned or reviewer users to soon due or overdue tasks. The administrator must set the number of days users will be notified. The reminders are emailed everyday, at midnight (in each user's time zone). For example, "soondue"=3 (you will be notified 3 days, 2 days and 1 day before the task's due date). 49. Can we create a project from a template? Can we copy a project?

Yes. A project template simplifies new project creation. You can copy its structure (assigned users, groups, types, statuses, priorities) and its tasks. A project can be copied only if it has been identified as a template. To do so, check the "Project Template" checkbox in the "Project #" tab.


50. Can AceProject manage time worked on a task, by a user, automatically?

Yes. The IN/OUT module allows users to enter their time automatically, when they open a task. When they "Close Out", the elapsed time is added on the time sheet, for that task, automatically.


51. We would like to add our company logo on the interface, and remove AceProject's. Is this possible with a Hosted package?

Yes. This option is available with the Hosted Pro and the Hosted Gold packages. When available, this option is free of charge. Simply send us your logo by email in .gif format (100 x 33 pixels).


52. Do you offer several access rights, depending on the type of user?

Access rights are very flexible. They allow to grant each user adapted rights. This ensures that users can work on their tasks, without being able to access parts of the system they are not concerned about. Click here to know everything about access rights.


53. What are the different user types?

AceProject allows to create 3 user types: administrator, administrator-limited and normal user.


54.  How can we backup our data? Do you keep backups on your side?

Backups are made everyday and we keep all hosted accounts data for the last thirty days. Moreover, you can create your own backups, depending on the package you use. With the "Hosted Basic" and the "Hosted Advanced" packages, you can export your data in Excel format. With the "Hosted Pro" package, you can download your Access database as well. Finally, with the "Hosted Gold" package, you can download all your file attachments, and your SQL database as well, with a FTP access.


55. Is our account hosted on a private environment on your servers?

For the "Hosted Pro" and the "Hosted Gold" packages, all accounts are hosted on distinct environments. We copy your AceProject account in a private folder. Your login page changes for: http://www.aceproject.com/yourcompany/server01/login.asp. This optimizes your account's performance and speeds up the access.


56. We would like to allow our clients and subcontractors to access the system, for them to be able to view the progress of work they are concerned about. However, we do not want them to access the account's user directory. Is this possible?

Absolutely. You can configure user directory display parameters for each user with these options: Display All Users, Display Only Administrators, Users Assigned On The Same Project, Users In The Same Group or Disabled.


57. We are interested in a Hosted package. We would like to know how you guarantee our data privacy?

59. What kind of reports can we produce with AceProject? Is it possible to create personalized task reports?

AceProject allows you to create several types of reports (time and task reports). These reports are preformatted and several filters allow you to edit display and printing. Moreover, you can create "Custom Task Reports", by yourself, by choosing the fields and filters.


60. Is it possible to purchase training hours if we want to get support by phone?
